Vertix Technologies, based in Athens, is responsible for the processing this page describes (the data controller).

For anything about your data, email info@vertixtechnologies.com. We have not appointed a Data Protection Officer, because the size and kind of our work do not require one, so our team answers you directly.

What we collect

When you send us a message

From the contact form we keep your name, your email, your company if you give it, and your message. We also keep the page you sent it from and that page's language. To protect the form from bulk or malicious messages, we store your IP address and your browser type with the message.

The small-business form asks for your name, a phone number or an email (either one is enough) and what kind of business you run. You can also add your website and a message. If you choose to send the numbers from the calculator, we keep those too, so we can reply with a price that fits your work. The page, its language, your IP address and your browser type are kept the same way as with the contact form.

Please do not put health details or other sensitive data in the form. We do not need them to reply.

When you accept analytics cookies

Only if you click Accept in the cookie message, Google Analytics records which pages you view, how long you stay, which kind of device you use and roughly which country or city you visit from. It tells your visits apart with a random identifier in a cookie. Google Analytics 4 does not store IP addresses, and Google's advertising features stay switched off. If you click Decline, or do not answer, Google Analytics does not load at all.

When you simply visit

Our server records technical details of each request, such as the IP address, the time and the page, so we can find errors and attacks. Fonts load from our own server, so a visit does not send data to Google for that reason.

Why we use it, and on what legal basis

• To answer your message and, if you ask, send you a proposal. Legal basis: steps you ask for before entering into a contract (GDPR Article 6(1)(b)) and, for general questions, our legitimate interest in replying to people who write to us (Article 6(1)(f)).
• To keep the form and the site secure, using the IP address, the browser type and the server logs. Legal basis: our legitimate interest in protecting the site from abuse (Article 6(1)(f)).
• For traffic statistics, so we can see which pages help. Legal basis: your consent (GDPR Article 6(1)(a) and Article 4(5) of Greek Law 3471/2006). You can withdraw it at any time.
• If you become a client, for our work together and for invoicing. Legal basis: performing the contract (Article 6(1)(b)) and our obligations under tax law (Article 6(1)(c)).

We do not sell your data, we do not use it for advertising, and we make no automated decisions about you based on it.

Cookies and local storage

The site keeps very little in your browser. This is all of it:

You can change your choice at any time with the button below, or from Cookie settings at the bottom of every page. If you decline after accepting, we also delete the Google Analytics cookies that were set.

Who has access

• The Vertix team that reads and answers messages.
• Our hosting provider, whose servers in the European Union run the site and the database.
• Our email provider, which delivers the notification we get for each new message.
• Google Ireland Limited, for Google Analytics, only if you accept it.
• Public authorities, when the law requires it.

Our providers process the data on our behalf and only for the task we give them.

Transfers outside the EU

Messages from the form are stored on servers in the European Union. Google may also process Analytics data in the United States. Google LLC is certified under the EU-US Data Privacy Framework and also uses standard contractual clauses. If any other provider of ours processes data outside the EU, it does so with the safeguards in Chapter V of the GDPR.

How long we keep it

• Messages from the contact form and the small-business form: 24 months from the day you wrote to us. Then we delete them.
• Messages about a job: 12 months, unless you ask us to delete them sooner.
• If you become a client: what our work and invoicing need, for as long as tax law requires.
• Server logs: up to 30 days.
• Google Analytics: 2 months at the level of individual visits. Totals, such as visits per month, do not identify you.
• Your cookie choice: until you clear it in your browser.

Your rights

You can ask us to:

• show you the data we hold about you and give you a copy;
• correct anything that is wrong;
• delete your data;
• restrict how we use it;
• give it to you in a file a computer can read (portability);
• stop processing that relies on our legitimate interest (objection).

If you gave us consent, you can withdraw it at any time. This does not affect what happened before you withdrew it.

Email info@vertixtechnologies.com. We reply within one month. If we need to confirm the request comes from you, we will ask you for a detail that shows it.

When we set up an AI assistant for your business

When one of our assistants answers the customers of a business that works with us, that business is responsible for its customers' data. We process it on the business's behalf and only on its instructions, under a data processing agreement (GDPR Article 28) that we sign before we start.

The assistant tells the customer from the first message that it is an AI. The replies are written by OpenAI's GPT-5.6 through OpenAI's European infrastructure, so the messages are stored and processed in Europe. We name every other provider, such as the one that sends the SMS messages, to the business in writing before we start.

Children

The site is for professionals and businesses. We do not knowingly collect data from children under 15.

Changes to this policy

When something here changes, we change the date at the top of the page. If the change matters, such as a new provider, we also add a short note in this section.
